Sales Insights
Built from your end-of-day reports. Sales count when payment is received.
Start here: Insights setup, field examples and daily routine
Open Insights > Sales. You need a verified provider account to load private data and approval to save costs or inventory. Check the business timezone above before comparing days. Examples below use XCD (EC$); use your own menu currency and measured quantities.
First-time setup: follow this order
- Create your meal, portions, paid extras and opening hours in your menu first.
- Expand Food waste and ingredient inventory, then select Load inventory. Add ingredients with fixed units: Rice (uncooked) in g, Oil in ml, or Eggs in individual units.
- Record a Physical stock count for each ingredient before trading. For 10 kg of rice, enter 10000 g, not 10.
- Save Package prices and usable yield for each ingredient. A 1000 g rice bag costing EC$10 with 100% yield costs EC$0.01/g. Package pricing does not add stock; record a purchase separately when stock arrives.
- Save Recipe quantities per serving: for Rice bowl, base rice 200 g; Large adds 100 g, not the full 300 g. For each option, check Additional quantities are recorded before entering quantities. Checked with blank quantities means no added use; unchecked means unknown.
- Open Recipe costing, package servings and suggested price. Choose Regular, enter packaging 1, test base price 10, and target food gross margin 60. With 200 g rice at EC$0.01/g, total cost is EC$3, profit EC$7 and margin 70%; the suggested whole-meal price at 60% margin is EC$7.50.
- Review, then select Apply calculated costs to future orders. Alternatively enter known money costs directly under Private menu costs. These are two ways to set the same costs; applying recipe costs replaces manual costs. Neither action changes selling prices or old sale costs.
- For pricing beyond food costs, save Monthly business costs: rent, staff and utilities and expected monthly meals. Example: 5000 expenses / 1000 meals = EC$5 overhead per meal. With EC$3 food/packaging, full cost is EC$8; a 20% margin after overhead suggests EC$10. Review the separate full-cost estimate before manually changing a menu price.
- Set Minimum stock levels, then check warnings and estimated portions after loading/refreshing inventory. Use Can I make this meal? to plan a specific quantity.
What to enter in each control
| Section / field | Example and meaning |
|---|---|
| Period / From / To | Start with Last 30 days. For a fixed comparison choose Custom range, From 2026-10-01, To 2026-10-31. End no later than today; detailed ranges support up to 366 days. All time shows daily-report totals, not detailed rankings or live trends. |
| Rank by / Refresh every 60 seconds | Choose Units sold for popularity or Net meal revenue for sales value. Enable polling only if wanted; it pauses while hidden or editing costs. Refresh insights reloads the detailed section and discards its unsaved cost edits. |
| Flash promo candidate | Select an active meal, then Review flash promo. Check stock and discounted margin in Daily Special; nothing publishes automatically. |
| Private menu costs | Select Rice bowl. Base ingredients / serving: 2; Packaging / serving: 1; Additional cost Large: 1; Extra cost Extra egg: 0.80. These are costs to you, not customer selling prices. Use 0 for known no cost; blank options mean unknown. |
| Test base selling price / Preview portion / Include extra | Enter 10, choose Regular, leave extras unchecked to test the base meal. Choose Large or check an extra to add its configured selling charge and cost. This is only a preview, not a menu-price update. |
| Add ingredient: Name / Fixed unit | Rice (uncooked) / Grams (g); Oil / Millilitres (ml); Eggs / Individual units. Names and units cannot be changed afterwards. |
| Package: Ingredient / Contents / Price / Currency / Usable yield | Rice / 1000 / 10 / XCD / 100. Price is for one package, excluding recoverable purchase tax. Use 80 for 80% usable yield, not 0.8; record actual trimming/residue separately as waste. |
| Recipe: Meal / Recipe section / ingredient quantity | Rice bowl / Base ingredients / rice 200. Switch to Additional portion Large, check recorded, enter rice 100. Leave unused ingredients blank; do not enter 0. Save ingredient recipe after reviewing all sections. |
| Recipe costing: Meal / Portion / Include extra / Packaging / Test price / Target margin | Rice bowl / Regular / unchecked / 1 / 10 / 60. Target is a percentage below 100, not markup. The suggested price includes selected options; subtract their selling charges before changing a base menu price. |
| Inventory event: Ingredient / Record type / Quantity | Rice / Purchase received / 5000 for five 1 kg bags. For a physical count, enter all stock actually present, not the difference. Only counts may be zero; purchases, waste and usage must be positive. |
| Event time / Usage source / Note | Default time records submission time. For a backdated entry use your browser's local time, within the last 366 days and not in the future. Usage source applies only to Ingredient usage: Walk-in POS for receipt 17, otherwise Other. Note examples: Supplier receipt 104; POS receipt 17 - four bowls; 500 g spilled; Opening count before service. |
| Monthly business costs / Expected meals | Currency XCD; rent 1500; staff 3000; utilities 500; other 0; expected meals 1000. Save before using the full-cost calculator. Enter explicit zero for no expense and do not count staff twice. |
| Minimum stock / Servings to prepare | Rice minimum 1000 g warns at or below 1 kg. In meal costing, plan 4 servings of 200 g rice: 800 g usable is required. Missing counts/yield stay unknown. Warnings are on-page, not background messages. |
| Correct a mistaken inventory entry | Select the wrong entry, explain the mistake, check the review box, and Reverse mistaken entry. Add its corrected replacement with the original event time. The audit history stays; sales and order status are not changed. To remove an ingredient from a future recipe, clear its quantity and save the recipe. |
Daily routine and a stock-check example
Record purchases when received. Mark online orders paid only when payment is received; mark them completed when fulfilled. Payment adds sales; completion records ingredient usage, even if unpaid. Pending, preparing and ready orders have not deducted ingredients yet.
Record walk-in sales in POS for revenue and record their ingredient usage separately here. Four Regular rice bowls at 200 g each need one rice usage entry of 800 g. Do not enter the same automatically tracked online usage again. Gifts, drinks, missing recipes, removed components and prepared cancellations need manual usage or waste entries as appropriate.
Opening 10000 g + purchases 5000 g - usage 8000 g - waste 500 g = expected 6500 g. Count 6000 g: unexplained shortage is 500 g, separate from the 500 g logged waste. Two physical counts are needed. A count starts the next cycle; it is not a purchase or extra usage.
Save and refresh: save one form before moving on; inventory saves reload the inventory panel and discard other unsaved inventory edits. Refresh inventory after changing private costs; Refresh insights after applying recipe costs. Failed inventory retries resubmit the same original entry, even if you edit its fields. Reload inventory to discard that retry; if a connection failed, check the audit entries before creating another movement to avoid double counting.
Read results carefully: no sales does not mean zero ingredient use. Blank costs are not free ingredients. Food gross profit excludes overhead; use the separate full-cost estimate for entered rent, staff, utilities and other expenses. Demand counts placements, including cancellations and preorders, not kitchen workload. Check coverage warnings before making stock, promotion or staffing decisions.
